Scenic Air respects the privacy of everyone who visits this website or contacts
us about a flight. This policy explains what information we collect, why we collect
it, how long we keep it, and what you can do about it. We have written it in plain
language rather than legal boilerplate, because a policy nobody reads protects nobody.

Who we are

This website is operated by Scenic Air (Pty) Ltd, a licensed air charter operator in
Namibia.

For any question about this policy or about information we hold on you, write to
either office above.

What this policy covers

This policy covers scenic-air.com and the enquiries we receive through it. It does
not cover information you give us in person, by telephone, or through a travel agent
or tour operator who books on your behalf, although we handle that information to the
same standard.

Information we collect

When you send us an enquiry

Our contact form asks for the following. Fields marked as required are the ones we
genuinely need in order to answer you:

  • First name and surname
  • Email address
  • Contact telephone number
  • Place of departure and destination
  • Date of departure
  • Number of passengers
  • Any message you choose to write

Please do not send us passport numbers, identity numbers, payment card details,
medical information or other sensitive details through the contact form. If we need
anything of that kind to arrange your flight, we will ask for it separately and
explain why.

When you simply browse the site

Our web server keeps standard access logs, as essentially every web server does.
These record the IP address of the visiting device, the date and time, the page
requested, and the browser and operating system reported. We use these only to keep
the site running and secure. We do not use them to build a profile of you, and we do
not attempt to identify individual visitors from them.

What we do not collect

We want to be specific about this, because it is unusual enough to be worth stating
plainly. This website carries no analytics, no advertising pixels, no
tracking scripts and no social media trackers
. There is no Google Analytics,
no Google Tag Manager, no Meta/Facebook pixel, and no third-party marketing tooling of
any kind. Web fonts are served from our own server rather than fetched from Google, so
browsing this site does not disclose your IP address to a font provider.

Why we use your information, and our legal basis

We do not send marketing emails. The details you give us through the
contact form are used to answer that enquiry and to arrange the flight, and for
nothing else. We do not add enquirers to a mailing list, and we do not sell, rent or
trade your information to anyone.

Cookies

Browsing this website — the home page, flights, fleet, gallery and about pages —
sets no cookies at all. We use no analytics cookies, no advertising
cookies and no tracking cookies anywhere on the site.

The single exception is our contact page, which is explained next.

Google reCAPTCHA on the contact page

Our contact form is protected by Google reCAPTCHA, which distinguishes genuine
enquiries from automated spam. Without it, the form quickly becomes unusable.

reCAPTCHA is provided by Google. When you open the contact page, it loads content
from Google’s servers and may set cookies in your browser and collect technical
information — including your IP address, the time of your visit, and how you interact
with the page — which is transmitted to Google and may be processed on servers outside
Namibia, including in the United States. This happens on the contact page only. We
rely on our legitimate interest in preventing abuse of the form.

Google’s handling of that data is governed by its own terms:
Google Privacy Policy
and
Google Terms of Service.
If you would prefer not to use the form, you are welcome to email or telephone either
office directly using the details above.

How long we keep your information

  • Enquiries that do not lead to a booking — kept for 24 months so
    we can pick up the thread if you come back to us, then deleted.
  • Enquiries that lead to a booking — kept with the booking record
    for 5 years from the date of the flight, in line with Namibian civil aviation and
    tax record-keeping requirements.
  • Web server access logs — rotated and deleted on our host’s
    standard schedule, typically within a few months.

Enquiries reach us in two places: as an email to the office concerned, and as an
entry stored in this website’s database. Both are deleted when the periods above
expire.

Who has access to your information

Your enquiry is handled by Scenic Air staff at our Windhoek and Swakopmund offices.
We do not pass enquiry details to lodges, tour operators, booking agents or any
other commercial third party.

Two categories of people necessarily have access in a technical sense:

  • Our web hosting provider and the developer who maintains this website, who can
    access the server on which the site and its enquiry records sit. They act on our
    instructions and only for the purpose of keeping the site working.
  • Google, in respect of the reCAPTCHA described above.

Beyond that, we disclose information only where we are legally required to — for
example passenger details provided to aviation authorities or airport operators where
regulations require a manifest, or a lawful request from a competent authority.

Where your information is stored

This website and its enquiry records are held by our web hosting provider, and email
sent to our offices is stored on our email provider’s servers. Some of these servers
may be located outside Namibia, and outside your own country. Wherever your information
is held, we take reasonable steps to ensure it is kept securely and used only for the
purposes set out in this policy.

Your rights

You may ask us to:

  • tell you what information we hold about you, and give you a copy of it;
  • correct anything that is wrong or out of date;
  • delete your information, where we are not required to keep it by law;
  • stop using your information for a particular purpose.

Write to either office and we will respond within 30 days. We will not charge you
for this, and we will not treat you any differently for asking.

Namibia does not currently have comprehensive data protection legislation in force.
We nonetheless apply the standards set out in this policy as a matter of practice.
Article 13 of the Namibian Constitution protects the right to privacy.

If you are in the European Union or the United Kingdom, the General Data Protection
Regulation may apply to our handling of your information, and it gives you the
additional rights to restrict or object to processing, to data portability, and to
lodge a complaint with your national data protection supervisory authority. We would
ask that you raise the matter with us first so that we have the chance to put it
right.

Security

This website is served over an encrypted HTTPS connection, so information you send
through the contact form is encrypted in transit. Access to enquiry records is limited
to staff who need it. No system is perfectly secure, and we cannot guarantee the
security of information while it travels across the internet, but we take reasonable
measures appropriate to the sensitivity of what we hold.

Links to other websites

Our pages link to third-party sites, including our TripAdvisor listings, our
Facebook page and our Instagram profile. Following those links takes you to services we
do not control, each with its own privacy practices and its own tracking. This policy
stops at the edge of our site.

Children

This website is intended for adults making travel arrangements. We do not knowingly
collect information from children. Where children travel with us, their details reach
us from the adult making the booking.

Changes to this policy

If we add anything to this website that changes how information is collected — an
analytics tool or an online booking system, for instance — we will update this policy
and change the date at the top before doing so.
